Introduction
At Trekmate Himalaya, we understand that travel plans may change due to unforeseen circumstances. This Cancellation & Refund Policy explains the conditions under which cancellations and refunds are handled for trek bookings.
1. Booking Amount
A minimum advance booking amount of ₹1000 is required to reserve a seat for any trek.
The remaining trek fee must be paid at the designated pickup point before the trek begins.
2. Cancellation by Participants
If a participant chooses to cancel their booking, the advance booking amount paid at the time of reservation is non-refundable.
Refund requests made after the commencement of the trek will not be considered under any circumstances.
3. No Show Policy
Participants who fail to report at the designated pickup point, fail to join the trek, or voluntarily leave the trek midway shall not be eligible for any refund.
4. Cancellation by Trekmate Himalaya
Trekmate Himalaya reserves the right to cancel a trek due to:
- Operational reasons.
- Insufficient participant strength.
- Government restrictions.
- Safety concerns.
- Natural disasters.
- Other unavoidable circumstances.
If a trek is cancelled by Trekmate Himalaya before the departure date, participants shall be eligible for a full refund of the amount paid to the company.
5. Weather, Road Blockages & Natural Events
Trekking in the Himalayas is highly dependent on weather and natural conditions. Route changes, delays, shortened itineraries, or cancellations may occur due to:
- Heavy rainfall.
- Snowfall.
- Landslides.
- Floods.
- Road closures.
- Government advisories.
- Other force majeure events.
Once participants have reached the trek base location or the trek has commenced, no refund shall be applicable for itinerary changes, route modifications, shortened treks, or cancellations caused by weather conditions, natural disasters, or circumstances beyond the control of Trekmate Himalaya.
6. Transfer of Booking
Requests for transferring bookings to another person or another departure batch may be considered on a case-by-case basis and are subject to availability and management approval.
7. Refund Processing
Approved refunds, where applicable, will be processed through the original payment method used during booking.
Processing timelines may vary depending on banks, payment gateways, and financial institutions.
8. Force Majeure
Trekmate Himalaya shall not be liable for refunds, compensation, or losses arising from events beyond reasonable control, including but not limited to natural disasters, pandemics, government restrictions, political unrest, transportation disruptions, or extreme weather conditions.
9. Policy Updates
Trekmate Himalaya reserves the right to modify this Cancellation & Refund Policy at any time. Updated versions will be published on this page and become effective immediately upon publication.
