Booking Policy

Understand the booking process, payment requirements, and participant responsibilities before reserving your trek with Trekmate Himalaya.

Introduction

This Booking Policy outlines the procedures and requirements for reserving a trek, expedition, or adventure activity with Trekmate Himalaya. By making a booking, you acknowledge and agree to the terms described below.

1. Booking Confirmation

A booking is considered confirmed only after:

  • Submission of required participant information.
  • Payment of the applicable booking amount.
  • Confirmation from Trekmate Himalaya.

Trekmate Himalaya reserves the right to accept or reject any booking request at its discretion.

2. Advance Booking Amount

A minimum advance payment of ₹1000 per participant is required to reserve a seat on any trek offered by Trekmate Himalaya.

Bookings without the required advance payment shall not be treated as confirmed reservations.

3. Balance Payment

The remaining trek fee must be paid at the designated pickup point before the trek begins.

Participants who fail to complete the balance payment may be denied participation without any refund of the booking amount already paid.

4. Participant Information

Participants may be required to provide accurate personal information including:

  • Full Name
  • Mobile Number
  • Email Address
  • Emergency Contact Details
  • Government-issued Identification
  • Medical Information (when required)

Providing incorrect or misleading information may result in booking cancellation.

5. Fitness Requirements

Trekking in the Himalayas involves physical effort and exposure to varying terrain and weather conditions.

Participants are responsible for assessing their own fitness and ensuring they are medically capable of undertaking the selected trek.

6. Group Bookings

Group bookings are subject to availability and operational feasibility.

Trekmate Himalaya reserves the right to modify logistics, transportation, accommodations, or trek arrangements for group departures when necessary.

7. Changes to Bookings

Requests for date changes, participant substitutions, or other booking modifications may be considered subject to availability and management approval.

Additional charges may apply depending on the nature of the requested change.

8. Cancellation of Bookings

Booking cancellations shall be governed by the Cancellation & Refund Policy published on the Trekmate Himalaya website.

Participants are advised to review the cancellation policy before confirming any reservation.

9. Special Requests

Trekmate Himalaya will make reasonable efforts to accommodate special requests. However, fulfillment of such requests cannot be guaranteed and remains subject to operational feasibility.

10. Policy Updates

Trekmate Himalaya reserves the right to revise this Booking Policy at any time. Updated versions will be published on this page and become effective immediately upon publication.
